Main Functions of Job:

 

Main function of job role is to provide reception services for The Peninsula building and the wider Peninsula Group. In this role you will be part of the Group Facilities Team and will be required to but not limited to undertaking the following:

 

o    Provide reception services to the main building reception.

o    Provide an initial meet and greet/concierge style service to all visitors to the building.

o    Provide excellent customer service and focal point to all staff and visitors at The Peninsula

o    Ensure visitors/guests have a smooth transition through the building.

o    Signing-in visitors at reception, processing their visitors pass.

o    Escorting visitors to the executive lounge and ensuring they are given refreshments as necessary.

o    Booking of car park spaces and undertaking bookings for visitors such as taxi’s

o    Assist with the monitoring all staff/visitor’s entry and exit, ensuring no security breaches such as tailgating together with the onsite security team.

o    Have good understanding of the building and being able to answer any questions or concerns that building users may have.

o    Provide administrative and operational support to the facilities team

o    Provide assistance with the day-to-day operational activities across the reception area, executive lounge and meeting rooms.

o    Assist with the management of several meeting rooms, this will include the following:

1.     Management of bookings via online booking system

2.     Preparation of meeting rooms, layout, AV equipment, catering etc

3.     Ensuring all rooms are well maintained at all times.

o    To assist the onsite team as required

o    Ensure all contractors attending site have signed in are aware of site rules, terms and conditions. Informing Facilities Manager of contractor’s arrival on site

o    Ensure a handover is to be done at the end of each shift with the security team to ensure continuous operation is seamless and efficient.

 

Supervisory Responsibilities/Position in Structure:

 

To supervise and process all visitors to The Peninsula ensuring all visitors are looked after. Reporting any issues to the Cleaning and Security Manager.

 

As a part of the reception team, it is essential that you are able to provide excellent customer service to all staff and visitors at The Peninsula and be confident in ensuring all visitors/guests are processed easily and efficiently.

 

Be confident in dealing with the public and being able to answer any questions or queries they may have.

 

Good organisational skills and the ability to multitask and prioritise workload.

 

Have good general knowledge of the building and its occupants.

 

Promote good housekeeping throughout the building and assist the Cleaning and Security Manager and Cleaning Supervisor to ensure all areas are kept to the highest standard.

 

Ensure reception telephone is always answered correctly and politely, an excellent telephone manner is required as reception will involve speaking to clients/tenants directly.

 

Be able to cover reception for breaks/holidays/sickness.

 

Previous Experience and Skills Required:

 

Proven experience in a customer service environment.

 

Previous experience of working within a Front of House/Receptionist role is preferable.

Experience in Customer Service essential.

Excellent communication skills and good telephone manner.

Be confident in dealing with visitors and have a proactive and flexible approach.

Be able to work both individually and as part of a team.
