Job Overview

This role requires someone with analytical and problem-solving skills, as well as being highly organised, in order to enhance the operational impact of the department operations, improving the efficiency of the department as well as the employee and client experience. Leading the Workforce Planning Team of administrative colleagues whose role it is to process the receipt of new engagements. This role will be fundamental in the planning, scoping and execution of key department projects/initiatives that will impact operational efficiency and super service. You will also take responsibility for the updating and closure of files whilst ensuring the accuracy of data relating to ongoing matters or following their conclusion.

Day-to-Day Responsibilities

  • To identify opportunities for improvement across the department and lead projects from start to finish whilst liaising with the Tribunal Navigator Manager and Head of Litigation.

  • To identify enhancements to the current operational process

  • To work closely with BI and the development team to oversee any systems’ transitions, embedding improvements in the system and ensuring all necessary operations are maintained.

  • To identify operational gaps/areas for improvement and suggest ways to improve with scoped out initiatives/project plans and then execute the projects to exceptional quality, providing updates and insights to key stakeholders.

  • To build and maintain a cohesive and motivated team, providing leadership and support to colleagues and peers.

  • To establish daily measurements and monitoring of the WFP team, to establish strengths and high performers as well as identifying training needs and areas for improvement.

  • To monitor live tasks through the day and when necessary take measures and communicate to the management team in real time to protect the SLA.

  • To provide strong process management for each individual Tribunal case, monitoring all sources for incoming cases and ensure prompt and accurate logging.

  • To maintain an accurate record of the caseload and availability of the Litigation This will require close monitoring and accurate updating of staff movement reports, outlook calendars and case allocation reports.

  • To utilize these availability records, together with any recommendations arising from initial case assessment to allocate each new case appropriately.

  • To ensure that appropriate time scales are achieved in obtaining case

  • To monitor the departmental caseload on an ongoing basis to ensure case files are appropriately owned at all times.

  • To develop strategies for ensuring minimal need for re-allocations and ensure that necessary reallocations take into account previous allocation history and any wider considerations (e.g. SLA for corporate clients etc).

  • To liaise with Consultants and Clients directly to ensure all logistical requirements are

  • To take full responsibility for all quality control issues relating to case handling whether inward or outward facing and, where appropriate, develop quality control processes and systems and effect improvements to existing ones in consultation with the Associate Director - Legal, the UK Litigation Manager and other members of the management team.

  • In consultation with the Director – Legal and other members of the Senior Management team, develop strategies, processes and systems for improving the efficiency of case handling

  • To provide training for existing staff and assist with the induction of new staff for all matters relating to the administrative processes necessary to ensure efficient case handling.

  • To support the UK Litigation Manager in delivery of MI detailing key performance indicators and commentary relating to resource and allocation concerns.

What you Bring to the Team

  • Experience of Project Work delivery to high quality

  • Strongly skilled in the use of MS Office and efficiency of BI reports

  • A “can-do” attitude with the ability to drive, motivate and support your team to achieve their best performance overall and for each individual.

  • Ability to work in a fast paced, adaptable

  • Strong time management skills and strong ability to multi skill.

  • Highly organised and pragmatic approach to problem
