Intro
The Pembrokeshire Association of Voluntary Services (PAVS) supports charities and volunteer groups across the county. They offer training, advice, and funding support – helping local organisations achieve their goals.
PAVS was already using Peninsula’s HR services. But after attending a local event, they realised they needed extra Health & Safety support too.
Maudie, Business Operations Manager, explains why…
The situation
Every summer, PAVS attends an agricultural show in Pembrokeshire.
They set up a stand to speak to visitors and promote their services to local charities.
When a local fire officer came to visit their stand, they asked to see Maudie’s fire risk assessment.
But while Maudie – who was still new to the role – had a general premises risk assessment, she didn’t have a specific fire safety risk assessment. It left Maudie feeling unsettled and unable to manage fast-changing Health & Safety requirements alone.
Maudie
Safety regulations change quite frequently. When we started looking into what a ‘competent’ Health & Safety person needs to do, there was more to it than I felt comfortable with. My predecessor was NEBOSH qualified, so knew it all, whereas I didn’t. So we've taken on board the full Health & Safety package

The solution
After the show, Maudie spoke to the directors. The board of trustees agreed that outsourcing their Health & Safety would bring stronger business protection.
So, they upgraded their Peninsula package to include both HR and Health & Safety.
James, a consultant, came to visit and assess the workplace. Then, he put together action plans to rule out hazards and risk.
This involved personalising procedures around the business and its staff – including fire safety risk assessments.
For example, one employee has limited mobility. This would make it difficult for the worker to exit the building using the established escape routes.
So, James showed Maudie how to create a personal emergency evacuation plan for this worker, which she then logged on Peninsula’s Health & Safety software.
And now, Maudie also has the confidence that the business is fully prepared for the next agricultural show. Following Peninsula’s unlimited Health & Safety advice, Maudie follows specific procedures to reduce fire risk – such as hanging up the correct signage.
When we go to the show next year...
I'll feel a lot more comfortable being able to say ‘yes, we've done this risk assessment.’ The systems and support Peninsula offer help me break all my Health & Safety tasks into manageable bits and pieces

And now...
Peninsula’s Health & Safety support stretches far beyond event safety.
In fact, Peninsula’s experts created a custom Health & Safety handbook for PAVS.
The handbook unpacks every single risk Maudie’s staff face. It breaks down who is responsible for certain tasks and how to respond to specific situations.
As the handbook is available on Peninsula’s software, it’s easy for Maudie to share Health & Safety updates with her team. Plus, she can track whether employees have read and accepted changes online. So, Maudie knows she’s meeting her duties by providing all the relevant information, and that staff are aware of important changes.
Maudie likes accessing all this information in one place. It makes it much simpler to look up Health & Safety rules, rather than digging out different documents.
Plus, Maudie frees up time by using Peninsula’s online Health & Safety management system. With time-saving templates and alerts, it’s far easier to stay on top of her duties.
The Health & Safety platform allows me to...
...access the library of 650 or so risk assessments and I can select which ones are relevant for me. I can then conduct that risk assessment, save it on the software, set a review date, and it will prompt me when I need to look at it again. It’s all available at your fingertips, rather than having to dig around in a dusty filing cabinet somewhere
